GUIDELINES FOR SESSION CHAIRS

The chair of each session is expected to arrive at the session room at least 10 minutes before the session begins, and to check the attendance of speakers in the session according to the schedule. Each speaker has 20 minutes for both presentation and discussion. The chair may ask speakers who bring their own laptops to do a compatibility test before the session begins.

GUIDELINES FOR ORAL PRESENTATIONS

Oral presentations have high scientific relevance. It is essential that you take this presentation seriously and prepare your presentation to highlight the novel contribution of your research to the fullest.

Timing. Presenters at all sessions are required to show up at their corresponding sessions 15 minutes in advance of the first paper. Each oral presentation at ICDAR2009 is allocated 20 minutes. 15 minutes for the presentation and the rest for questions / answers from the audience moderated by the session chair. It is necessary to stay on schedule so people moving between sessions can attend to the presentations they plan to. Plan your talk and the number of slides to allow for a relaxed pace. A usual recommendation is of one slide per minute.

Preparing slides. Prepare a legible presentation. Rooms in ICDAR2009 (Arnau de Vilanova, Lluis Vives I and Lluis Vives II) can accommodate 400, 200 and 140 people in conference/classroom style seating respectively. In your slides, make good use of font sizes, color and contrast. Your presentation must be legible from the back row, with decent lighting. As a rule of thumb, if you can stand two meters away from your computer’s monitor and easily read your slides, your slides are good enough.

A/V equipment. All session rooms will be equipped with a laptop computer and a LCD projector. Presenters are expected to copy their presentations to the provided laptop off their own CD-ROMs or USB Memory sticks before the session begins. You can alternatively use your own equipment, but in such a case you are strongly adviced to to connect your equipment and test the signal matching before the session begins.

GUIDELINES FOR POSTER PRESENTATIONS

A board that can fit an A0 portrait poster (Width: 95cm, Height: 140cm) will be provided for each poster. Thumbtack and/or pins will also be provided to secure posters in place. Each paper’s code will be shown up on the board. The list of poster codes and the corresponding titles will be also displayed in the poster room. Each poster will be displayed for the entire day. Pease mount your poster early in the morning before the first coffee break and remove it after the last session of the day. We encourage all presenters to stay close to their posters during coffee breaks. All presenters are required to be present at their poster panel during the corresponding poster session to present their work and discuss with the conference participants.

POSTER PRINTING SERVICE

ICDAR2009 Organization offers a Poster Printing Service for authors presenting a poster in the conference. If you order your poster printed using this service you will be able to pick it up from the ICDAR registration desk during the days of the conference.

Details for the poster delivery are described below:

  • Panel Size: as mentioned above a 95x140cm panel will be provided for each poster.
  • Poster Size: ICDAR2009 Organization suggests posters to be 90x120cm.
  • Files: Posters must be send in PDF format. Make sure you export the poster at the correct page size of the document (real size), not the default A4. Also, make sure the poster you send is in high quality (600dpi or more).
  • Price: the following table describes the prices of the service depending on the paper quality

  • How to pay: The payment for the printing service will be done by cash at the moment you pick your poster up.
  • Deadline: Make sure you upload your poster before Monday, 13th July.
UPLOAD YOUR POSTER

Suggestions: ICDAR2009 Organization suggests to create poster with a light background and dark characters as it would make the poster clearer and more readable. In case the author prefers other option (a lot of dark background), normal paper should not be used and other paper qualities should be chosen.
